General Service Terms

Aligned Print & Scan is not a law firm and does not provide legal advice, legal representation, or legal document drafting. Customers are responsible for selecting the document, reviewing its contents, obtaining legal guidance when needed, and confirming recipient or recording requirements.

Submission of a request does not guarantee acceptance or confirm an appointment. A service date, time, witness arrangement, or remote session is confirmed only after Aligned Print & Scan sends written confirmation.

Quotes, Pricing, and Separate Invoices

Quotes are based on the information supplied at the time of review. Material changes to the document package, signer count, notarial acts, travel, witnesses, printing, timing, or fulfillment may change the final amount.

A paid invoice will not be rewritten to include later charges. Additional approved charges are issued on a separate invoice. For mobile services, Invoice #1 generally covers the appointment or dispatch amount and approved advance production. Invoice #2 may cover notarial acts and other services actually completed or added later.

Remote Online Notary Fees

The standard starting estimate is $35: a $25 online notarization service fee plus one $10 notarial act. Additional notarial acts are estimated at $10 each. Other requested services are itemized separately.

Remote witnesses coordinated by Aligned Print & Scan are estimated at $25 per witness and are subject to availability and platform rules.

Mobile Notary Fees

Mobile pricing includes an appointment or travel amount based on the service area and round-trip mileage. Notarial acts, printing, scanning, witnesses, after-hours service, waiting, parking, or other approved services may be itemized separately.

Mobile witnesses coordinated by Aligned Print & Scan are estimated at $50 per witness and are subject to availability.

Witnesses and Additional Participants

The customer is responsible for determining whether the document requires document witnesses or other participants. Aligned Print & Scan may collect this information and coordinate available witnesses, but does not determine legal document requirements.

A document witness is different from a credible witness used for identification. Any credible-witness arrangement must satisfy Texas law and the service platform’s requirements. Witness fees may remain due once a witness has been assigned or has reserved time.

Rescheduling

Rescheduling requests should be submitted as early as possible and are subject to availability. A requested change is not effective until Aligned Print & Scan confirms the new appointment.

Changes requested at least 24 hours before an appointment normally have no rescheduling fee. Changes inside 24 hours, repeated changes, or changes after travel, production, witness assignment, or provider costs have been committed are reviewed individually. APS may waive an otherwise applicable amount when the circumstances support it.

Cancellation

Customers may request cancellation through their secure request or Customer Support. A request does not itself cancel service, void an invoice, or issue a refund. APS reviews earned work, reserved appointment capacity, travel or committed service, materials already consumed, nonrecoverable provider costs, and unperformed service.

  • Mobile cancellation at least 24 hours before the appointment generally has no late-cancellation charge. From 2–24 hours APS may apply up to $25. Inside 2 hours or for a no-show, APS may retain up to the current $50 Mobile Appointment Base when capacity, travel, preparation, or other meaningful resources were legitimately committed. Unperformed notarial work is not automatically retained.
  • RON cancellation depends on the actual stage. Unearned APS amounts are generally refundable before substantive preparation or provider cost. Actual nonrecoverable Proof, witness, identity, or platform cost may reduce a refund after it is incurred. APS does not invent a fixed provider fee. A performed notarization is handled as completion, correction, complaint, or service-remedy review—not an ordinary cancellation.
  • Print & Scan is generally refundable before production begins. After production begins, completed work, consumed materials, and authorized production may remain due; unperformed work may be refundable. Correctly completed production is generally nonrefundable unless APS documents a production error or approves a service remedy. A customer-supplied incorrect source file is not an APS production error when APS produced the authorized order.
  • If APS cannot perform the promised service, APS refunds unearned APS charges and does not retain a cancellation charge merely because APS cancelled. Actual nonrecoverable external cost is reviewed under the disclosed policy and circumstances.

Refunds

Refunds may be full or partial and are tied to the exact original payment and invoice. The original payment record remains intact. A refund cannot exceed the remaining refundable amount after earlier refunds. Card refunds are not marked complete until the payment provider returns an authoritative result. Offline refunds are recorded in APS only after an administrator has actually returned the funds outside APS and supplies a unique external reference.

Approved refunds are initiated promptly. The time for funds to appear depends on the original payment method, payment provider, and financial institution. A refund does not convert a settled invoice into an unpaid balance; APS separately displays paid, refunded, net retained, and outstanding amounts.

Late Arrival, No-Show, and Readiness

Customers and all required participants must be ready at the confirmed time with acceptable identification, the complete document, and any required witnesses. Delays may shorten the available appointment or require rescheduling. A no-show or an appointment that cannot proceed because of missing participants, unacceptable identification, incomplete documents, or customer technology problems may require a new payment.

Technology and Third-Party Providers

Remote online notarization and payment services may depend on third-party providers, including Proof and Stripe. Customers must satisfy the provider’s identity, device, browser, and payment requirements.

When a confirmed appointment cannot proceed because of a verified provider outage, Aligned Print & Scan will attempt to reschedule the affected service. Provider outages are reviewed separately from customer device, connectivity, identification, or readiness problems.

Right to Refuse or Stop Service

Aligned Print & Scan may refuse or stop a service when identity cannot be established, a signer appears unwilling or unaware, the document is incomplete, the requested act is unauthorized, fraud or coercion is suspected, the environment is unsafe, or another legal, ethical, operational, or security concern exists.

Document Handling and Customer Responsibility

Customers are responsible for providing accurate, complete, and usable files and instructions. Aligned Print & Scan is not responsible for rejection caused by document content, recipient requirements, filing rules, recording rules, or customer-supplied errors.

When Aligned Print & Scan makes a verified production error, the appropriate remedy is generally correction or re-performance of the affected service rather than reimbursement for unrelated losses.

Request Service and Customer Portal

Submitting Request Service creates a request for APS review; it does not itself confirm an appointment, final price, production, or notarization. Customers may use the request-specific portal to review quotes, approve or request changes, pay eligible invoices, view appointment or fulfillment details, exchange messages, and access only documents APS has released for customer delivery.

Quotes, Payments, and Later Charges

Quote approval authorizes the quoted scope but does not represent payment. Card payments are processed by Stripe; APS may also record authorized offline payments against an existing invoice. Additional owner-approved services arising after the primary invoice may be placed on a separate supplemental or final invoice. Recording a payment does not create a duplicate invoice or rewrite a paid one.

Completed Documents and Release

Customer uploads, APS working files, APS deliverables, and Proof-returned completed notarized documents are separate records. A provider-completed RON transaction does not by itself release a document or complete the APS request. Customer access begins only after applicable APS review and explicit release requirements are satisfied.

Optional Reviews

APS may invite customers with legitimately completed, financially resolved services to share an honest review. Participation is optional, is not conditioned on satisfaction or sentiment, and does not affect service. APS does not offer incentives or request a particular rating.

Policy Updates

These terms may be updated as services, pricing, laws, and third-party platform requirements change. The version posted when a service is requested will generally govern that request unless a later written agreement states otherwise.
